Keeping the POS while improving the work around it

The client had used its POS for years, and stores were familiar with it. The work around it still involved manual data handling, from purchasing and stock enquiries to replenishment, dispatch and reconciliation. We learned how each team worked, then added integrations and tools in stages while keeping the POS.

Checking purchase documents before import

Products and quantities on a supplier document have to match the POS records. Staff upload the document, review the recognised details and check them before import. Unmatched items and inconsistent data remain visible for a person to resolve.

Following a replenishment request into the warehouse

Stores can check stock, request replenishment and handle transfers between stores. A replenishment request still needs approval, picking and dispatch. The system records requested, approved and picked quantities separately. Warehouse staff can find storage locations and record actual quantities on a phone, leaving shortages and differences visible for follow-up.

Connecting the work to finance

The engagement also covers order integration, reconciliation and accounting entry conversion. Prepared entries can be converted to the accounting system's format, while formatting and balance issues are shown for staff to correct.
